BabelWeave Privacy Policy

This Privacy Policy explains how BabelWeave ("BabelWeave", "we", "us") collects, uses, and protects information when you add our bot to a Discord server or use this website. BabelWeave is the data controller for the information described below. By using BabelWeave you agree to this policy.
1. What data we collect
BabelWeave collects and processes only what is needed to provide its translation service:
- Message content — text from messages in channels you explicitly map for translation, sent to Google Gemini to be translated. Message content is never stored beyond a short-lived translation cache (keyed by a one-way hash, not the original text) and is never used to train models.
- Discord identifiers — guild, channel, role, user, and message IDs stored to link translation groups, relay translated copies, and power the role panel. We do not store usernames or profile data.
- Subscription status — the tier (Free, Pro, Premium) associated with each server, as reported by Discord's entitlements API.
- Aggregate analytics — install/uninstall timestamps and daily translation counts per server, used for quotas, billing, and capacity planning. This is not linked to individual people.
2. What we do NOT collect
- We do not store the plaintext of your messages.
- We do not build advertising or marketing profiles.
- We do not sell, rent, or trade any data.
3. How we use your data
- Message text is sent to Google Gemini solely to perform translation and return the result.
- Discord IDs are used to route messages between channels and manage language roles.
- Aggregate counts enforce plan quotas and support billing.
4. Legal bases (GDPR)
Where the EU/UK GDPR applies, we process data under: performance of a contract (providing the translation service you requested) and our legitimate interests (operating, securing, and improving the service, and preventing abuse). Server administrators are responsible for informing their members that a translation bot is in use.
5. Data retention
- Translation cache: hashed entries are pruned automatically after 7 days.
- Message links (mapping a source message to its translated copies): pruned after 30 days.
- Server configuration (groups, channels, roles): retained while the bot is in your server; removed on request or when the bot is removed.
- Aggregate usage counters: retained for billing and quota history.
6. Your rights
Depending on your location (including under the GDPR and the California CCPA/CPRA), you may have the right to access, correct, export, or delete your data, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details in section 10. Because we store almost no personal data (only Discord IDs and hashes), most requests are satisfied by removing the bot, which purges server configuration.
7. Data deletion
To delete all data associated with your server, remove the bot from the server and contact us. We will purge all records for that server within 30 days. Cached translations and message links expire automatically as described above.
8. Third-party services
BabelWeave relies on the following sub-processors:
- Google Gemini — translation engine. See the Google AI Terms.
- Discord — platform and subscription billing. See the Discord Privacy Policy.
- Fly.io — hosting. See the Fly.io Privacy Policy.
Data may be processed on servers located in the United States; where required, transfers rely on appropriate safeguards.
9. Children
BabelWeave is not directed at children under 13 (or the minimum age of digital consent in your country). We do not knowingly collect data from them. This aligns with Discord's minimum-age requirements.

We may update this policy from time to time. The current version is always published here with its "last updated" date. Continued use after changes constitutes acceptance.
